Terms & Conditions

Mobile Coffee Cart Service Agreement

This Service Agreement (“Agreement”) is entered into on , by and between:

Service Provider:
Sweet Dahlias Coffee & More, LLC an OR registered LLC (“Provider”)

 (Hereinafter referred to as “Provider”)

and

​

Client:
 

(Hereinafter referred to as “Client”)

​

1. Services Provided

Provider agrees to provide mobile espresso cart services as described in Exhibit A (Scope of Work) attached hereto.

2. Payment Terms

The total fee for services will be [TOTAL FEES] as outlined in Exhibit B (Fee Rates). A non-refundable deposit of [DEPOSIT AMOUNT] is due upon signing this Agreement. The remaining balance is due no later than 7 business days prior to the event date. Events booked less than 7 business days prior to the event must be paid in full upon signing this agreement.

3. Term and Termination

This Agreement shall begin on the Effective Date and continue until the services are completed, unless earlier terminated by either party as provided herein.

Client may cancel the event subject to the cancellation terms in Section 6 - Cancellation Policy. Provider may terminate for cause with written notice if Client fails to comply with the Agreement.

4. Client Responsibilities

  • Provide accessible, level space for setup (minimum 8’ x 8’)

    • If event is upstairs, there must be an elevator/service elevator available for Provider

  • If event will be held outdoors appropriate coverage from the elements must be provided

    • Provider and Client will confer in advance any of the following forecasted conditions. Outdoor service may not be available under the following conditions: 

      • Extreme Heat (90°F)

      • Extreme Cold (45°F)

      • Severe Rain, Snow or Wind

  • Ensure power requirements are met

    • One (1) dedicated 20-amp circuit within 25 feet of setup location

  • If power is not available, the client must notify the Provider at least 7 business days in advance. A generator can be provided for an additional fee of $100

  • Provide parking for cart and load-in access

  • Obtain any necessary permits for venue, if applicable

5. Liability and Insurance

Provider shall maintain appropriate insurance coverage for operations. Client agrees to hold Provider harmless for any claims, losses, or damages arising from the event, except in cases of gross negligence or willful misconduct.

6. Cancellation Policy

We understand that plans can change, and we strive to be as flexible as possible while ensuring fairness for both parties. The following terms apply to all cancellations and rescheduling requests:

  • Cancellations made more than or equal to 7 business days prior to the event

A full refund will be issued minus the non-refundable security deposit. The deposit covers administrative costs and time reserved for your event.

  • Cancellations made less than 7 business days period to the event 

Cancellations made less than 7 business days before the scheduled event must be rescheduled within 12 months of the original event date. If rescheduling is not possible, a 50% refund of total fees will be issued minus the non-refundable security deposit.

7. Force Majeure

Neither party shall be liable for delays or failure to perform due to events beyond their reasonable control, including but not limited to severe weather, acts of God, strikes, or power outages.

8. Entire Agreement

This Agreement, including Exhibit A and Exhibit B, represents the entire understanding between the parties and supersedes all prior discussions or agreements.
